Time Saving Vs Time Stealing

It's easy to latch onto new technology or apps without really understanding them or their limitations. We love our 'new' app Dext formerly "Receipt Bank" but it's not without its issues, a few of which we want to address here. Hopefully this will help you get more out of the app.
  • 3 Ways to Submit
Yes, you can take photos on your Cell Phone App. Or email to a custom "[email protected]" email account. Lastly, you can login online and upload documents directly.
  • Taking Clear Pictures
Needless to say, if your camera lens is smudged, scratched or dirty the app can't do much with the image you give it. Make sure it's in Focus by tapping the center of your screen before capturing the image
  • Multi-Part Documents
Some documents contain many pages and that's fine. It's important to email these pages as one file or use the "Combine" feature on the app to take multiple pictures for one Document.
  • Foreign Currencies
Sometimes it's not incredibly obvious the currency of your receipt so it's very handy to highlight that on the original copy before submitting it. Also if it was paid for using your home currency then the actual rate on your statement is needed.
  • Avoiding Duplication
It's easy to forward an Invoice from your inbox to your Custom Receipt Bank email address. It's also just as easy to forget you've done so and submit a paper copy for processing also. Marking what you've submitted already on your paperwork is the best way to avoid this.
  • Multi-Receipt Files
Unfortunately emailing one file with multiple receipts direct to Receipt Bank does not have the desired effect of splitting those into multiple entries. However, so long as each page represents only one receipt you can upload these types of documents in the RB interface online.
  • Not Just Receipts
Our clients are using Receipt Bank to take images of Bank Deposit Slips. Customer Checks and Supplier Statements. Sending these to your Receipt Bank Inbox means they'll be picked up in processing and attached to the transaction in Quickbooks or Xero Accounting.
As with anything Accounting or Bookkeeping related, if in doubt, it's best to ask a qualified expert. While businesses & their books can be similar in nature and postings, there are always differences in how things are done. If you have any questions please  Contact us directly.
